An easier way to manage waste documentation for Waste Carriers and Hauliers

In the transport industry, moving waste, both hazardous and non-hazardous is one of the most legislation heavy types of work you can do.

With legislation comes paperwork – lots and lots of paperwork – and waste transfer is no exception.

If you’re a waste company specialising in the movement this won’t come as a surprise to you, especially if your organisation is also registered as a ‘Waste Transfer Station’.

If you’ve ever been asked to move a load of waste are you sure you did it legally?

Firstly, you must be a registered waste carrier to collect and dispose of waste in the UK.

As a registered waste carrier, you must ensure:

  • Waste is stored correctly i.e. it must be properly contained.
  • All collections are covered by a valid waste transfer note that includes a written description of the waste to enable anyone handling it to do so safely and appropriately
  • Records of transfers of waste are kept for at least two years
  • Waste is only taken to an authorised facility that has the necessary waste management licensing – ignorance of the disposal site is no defence if your waste is found fly tipped.

That’s a lot of paperwork to be filled out, retained, copied and sent to your customer for their records.

Thankfully, there is another way.

By using an integrated Transport Management System, such as TMS Go!, you can book jobs, plan your work AND bring all of the required data back into one integrated system to be sent to your customers and the Environment Agency.

On the road, your drivers can electronically gather the signatures required from customers to hand over waste to your organisation and the signatures of workers at the authorised disposal sites you’re delivering the waste to in order to generate a digital waste transfer note (WTN).

A waste transfer note or a Duty of Care Waste Transfer Note is a document that must be completed when waste is transferred from one party to another. Waste Transfer Notes ensure that there is a clear trail from when the waste is produced until it is disposed of.

Traditionally all of this information would have been recorded in the first instance on paper using a pen – which is a obviously a very time consuming process. Gathering this information digitally allows proper record keeping – and keeps the information ‘clean’.

Smudged or lost documents are a thing of the past. Digital storage of this documentation also makes it much easier and quicker to audit and inspect.

If your organisation also acts as a ‘waste transfer station’ I’m sure you’re familiar with the quarterly Environment Agency reports that you must produce every three months detailing what waste was brought to your site (and where it came from) – and what waste has left your site (and where it’s going).

This report documents everything you’ve done over a 13 week period and can contain thousands of jobs. How long does this take you to produce it currently?

By using a Transport Management System, such as TMS Go!, you can produce this report in seconds – at the touch of a button.

This document can be thousands of lines in MS Excel – why do it manually?
