Quinn Transport, based in Athlone, County Westmeath, specialises in groupage and refrigerated goods transport. This year marks a decade for them using Eureka’s MoveIT transport management software (TMS), bringing remarkable improvements to the way they run their operations.

 

Managing a fleet of 34 vehicles, and with 150 customers who have increased expectations, these manual processes were becoming outdated fast. After becoming the Managing Director, Mark Quinn decided that it was time to bring in software to help them run more efficiently, and cut down on avoidable manual tasks.

We were very paper-intensive,” explains Mark, “there was a lot of double work going on, very time-consuming and not very efficient.

Having joined the TPN Pallet Network in 2009, we then joined up with other Pallet Networks, meaning that we started taking on more of that type of work, and that’s when we kind of realised that we needed a transport management system. We saw MoveIT, and It gave us everything we needed.

We started with MoveIT in 2015, and it has been a huge help to us.” Mark says, “It’s been nearly 10 years now, and it has really helped us with every aspect of our business, from the admin side to the lads in planning, right through to the invoicing.

Even with the PODs, it helps us send real-time PODs to our customers, it’s made a big difference for us there especially.”

Time-Savings (POD return through DispatchIT)

Before, we had a lady in the office scanning in paper proof of delivery documents from 8 am every day.” Mark recalls, “Now, much of this is automated, and we are saving 4 hours a-day from this admin work.

The integrated DispatchIT driver mobile app, allows drivers to not only receive jobs, and update their progress directly with the office staff, but they can also capture digital signatures via their devices upon job completion. By digitising POD returns, operators massively reduce their need to scan paper documents, helping them to save hours of admin time, just like Mark and his team at Quinn Transport.

It’s good for the drivers and it’s good for the office. It’s reducing the amount of paperwork we handle, which is a massive positive.

The drivers find the DispatchIT app easy to use too, which is always a bonus.”

 

Efficiently Managing Pallet Network Jobs via Integrations

Mark found that he could also save a significant amount of admin time by integrating his MoveIT TMS with the TPN Pallet Network.

The jobs from TPN come into our TMS in real-time, it’s so convenient for us.

We’re scanning in our TPN pallets, and all the information is instantly displayed on MoveIT. This has been a huge help for our team, especially those handling loading and doing the manifests in the mornings. They can scan their pallets, upload the scans, and within minutes, everything appears on the manifest in real-time.

Not only is the integration between TPN and MoveIT making it easier to create and update their jobs where needed, but it is also helping to save them a serious amount of time.

This process saves us significant time compared to our old manual method, where we had to write down job numbers and manually input them into the system.Mark explains, ”Now, the information is visible on-screen, and creating a manifest takes just a few minutes.

As jobs come into TPN Connect, they appear live on MoveIT, allowing us to track everything throughout the day without the need to manually import EDIs. The link is seamless.

This integration not only provides tangible benefits to Mark and his team at Quinn Transport, but it is also proving to help with their customer service, and is helping to give their customers the information they need, and the ability to self-service, helping to reduce inbound enquiries and phone calls.

With our customers using the online portal, their jobs are automatically entered into the TPN system, generating a label directly from MoveIt. They can label their shipments themselves, which saves our staff a great deal of time. Previously, our office team had to input all the jobs manually, but now our biggest customers handle that process themselves.”

Mark explains that, with the system offering this level of integration and automation, they have seen a huge decline in warehouse mistakes, with Mark crediting some of this on the MoveIT TMS.

In the warehouse, if we had to label all the customers’ pallets ourselves with the volume of pallets we process, mistakes could happen—especially under pressure. A pallet might get labelled incorrectly, causing delays. With this integration, we’re saving both time and money!

Putting Their Customers First

Mark recognised that to continue Quinn Transport’s success, they needed to become more efficient and streamline their customer service. With the integrated Customer Portal, his customers now have greater visibility over their jobs, whilst helping to reduce the admin work for his staff in the office.

With customers often the first point of reference is the portal, where they can check scans and even see the POD. This massively reduces the number of phone calls we receive, you know, maybe up to 100 calls a day. Of course, some calls will still come in, but the reduction is huge.

The time savings are massive. When all these systems communicate seamlessly, it eliminates the need for someone to manually re-enter jobs and similar tasks. Plus, customers gain more control over their shipments—they can track and trace everything in the system without needing to call the office.

 

Customised Workflows to Increase Productivity

The Eureka MoveIT TMS allows for it’s users to create personalised custom workflows depending on user role, job function, or work type. Through implementing numerous widgets, operators such as Quinn Transport, help their staff to concentrate purely on what they are required to do, to streamline job processes, and to get their jobs done on time.

It helps us give our staff what they need and when they need it. Like, for the planning guys, get the job numbers and details they need to complete the job. If anything is missing or incorrect, they can see it and get whatever they need to sort.

The custom workflows are available for all Eureka users and facilitate the ability for managers to create streamlined work tasks and processes for their employees, helping them to concentrate on their tasks, and maximise efficiencies. This includes planning, accounts, and the various other teams within the transport operations.

The team at Eureka has been fantastic. Mark is always available—you can pick up the phone, ask a question, or request a report, and he’s eager to take on a new project. He’ll get it done.

The office team—Francis, Brendan, Mary, and the rest—are just as reliable. If you call them with a problem or need a quick tweak to the system, they’ll sort it out straight away. They’ll get it working for you as they’re always on the ball, they’re great to be honest.

Honestly, I couldn’t be happier with the support team. They’re always on hand and ready to help with anything we need.
