Ward Waste Products saving hours of admin by digitising their operations with their TMS

Prominent waste collection business Ward Waste Management needed a system that helped them manage their increased workloads and run more efficiently. In steps the Eureka MoveIT transport management software (TMS).

For over six decades, Ward Waste Management has been a trusted name in waste transportation in Ireland. Founded by Peter Ward Snr, the family-run business has been operating in Tournafulla, Co. Limerick, for 63 years.

With a fleet of 35 vehicles, they specialise in four key areas: deceased animal collection, skip hire, waste disposal, and transport—serving over 2,000 customers across the region.

As the company grew, managing operations manually with Excel became increasingly challenging. Recognising the need for a smarter solution, Ward Waste turned to MoveIT, with the hope of easing their admin burdens and making their operations more efficient.

 

Going to Market to Digitise Their Operations

It was all so manual”, explains Finance Manager Delia Ward, “doing everything on Excel, adding in the information from paper dockets into the spreadsheet. It took a lot of time to do everything. Month-end invoicing was a real challenge.

For businesses, like Ward Waste, who are growing and bringing on new business, managing work in this manual way becomes very challenging.

With the new stream of business coming in, and with the DRS [Deposit Return Scheme], we knew there was going to be a huge amount of dockets and tracing coming our way,” Delia says, “we knew the system we had wasn’t going to support us, and we had to look elsewhere.

With one of Ward’s biggest customers getting involved with the Deposit Return Scheme, the team anticipated a large increase in workload. Their existing system couldn’t support the new workload, prompting them to explore alternatives.

When we were first shown the system, we saw it did everything that we wanted,” explains Operations Manager Jack Ward. “One of the big selling points for us was that our customers were able to access the portal, and trace their work using this. It saves us a lot of admin time, especially as customers can use their docket number, and search on the portal for updates.”

Anything we asked for during the setup process, the team at Eureka were able to help.

After a smooth implementation, Ward Waste quickly expanded MoveIT’s use across the rest of their business.

 

Streamlining their Transport Planning
It’s benefitting us a lot.Jack explains, ”We can clearly see what’s been booked in, where the drivers are, and what has or needs to be planned still.

Through MoveIT, Jack and the team not only now have so much more outlook across their transport jobs, but it is also helping them to manage their driver’s schedules in a much more effective way.

For monitoring employee’s work, we now have so much more visibility.says Jack, “Filtering on what they can do, what they can’t do, and it helps our planners when looking to plan ahead, and getting our drivers ready for upcoming jobs.

Not only does MoveIT provide users with a greater level of insight into their upcoming work, and driver’s availability, but it also helps users to create and send jobs out to drivers much quicker and easier.

Improving Driver Efficiency
MoveIT isn’t just designed to help out the office staff. Through the MoveIT integration with Telegram, office staff have a direct line of communication, where job instructions, details and live updates can be shared seamlessly and digitally.

For our drivers before, handling large amounts of paper dockets with job information, they can go missing.Mike Dalton, Transport Manager reminisces, “We don’t have to worry about that anymore, because of the system. Drivers have this information on their phones, and we can share documents electronically. It gives us peace of mind.

The fact that it’s a web-based app too was big for usadds Jack, “Anyone could use it – the app seemed driver-friendly, customer-friendly, all around very easy to use.

The system also aids compliance. “HR features notify us when documents expire and flag up driver documents in the portal, allowing us to stay on top of compliance easily”, adds Jack.

 

Enhancing Accuracy with EWC Codes
In waste management, correctly identifying materials is critical. MoveIT allows Ward Waste to pre-load EWC (European Waste Catalogue) codes to ensure accuracy and allows their experts in the office to allocate correct codes to goods before drivers handle movements.

With years of experience, Delia is a master at EWC codes, but our drivers aren’t.Explains Jack, “So we didn’t necessarily want our drivers adding this in themselves. MoveIT, with our created job templates, allows us to add this in, so our drivers know exactly how to manage the goods they are handling.

Mike backs this up saying, “And now, the driver has the EWC code, so he knows exactly what he’s moving, and how it needs to be handled when processed.

 

Better Customer Service
Jack discusses how the Customer Portal has helped Ward Waste with their relationships with their customers.

Customers now have so much information at their fingertips before they ever need to come to us.Jack explains, “MoveIT has brought everything together, meaning the need for communication has gone down. It’s great for them as they get what they need quicker, and it’s helped us out a great deal.

 

“They log into the portal and see every job. Before MoveIT, we could always see everything, and they couldn’t. Now they can, and they have access to everything they need.”

 

Customers feel a lot more in the loop with everything, it’s enhanced our relationships with them, which is so important.

 

Faster Invoicing and In-Depth Reporting
By integrating with their accountancy package Xero through Eureka, invoicing has become much less of a pain point for the team.

A huge selling point to us was that you could invoice through the system. Integrating with Xero, it’s made everything easier, and helps us get our invoices out much quicker.Explains Jack.

Oh, it takes half the time now!Exclaims Delia. “A huge impact in time definitely.

 

“With Excel, invoicing took up to 10 days to finalise at month’s end. Now, everything is checked within the system and ready with just a click of a button, allowing us to invoice much earlier.”

 

The team were also impressed by the levels of data and analysis that they were able to obtain through MoveIT’s reporting capabilities.

The reporting was very impressive to us too”, mentions Jack, “The amount of data that you could get from Eureka, that previously, would have taken us a long time to get. Again, with one click of a button, you have everything you need there.
